Changing management companies is the moment boards worry about most. Eclipse runs every transition on the same onboarding workflow of more than two dozen benchmarks, each with an owner, a due date and a completion record. Your board receives routine status reports until go-live and can see progress in real time. A one hour introductory call makes sure the board knows the team that will be supporting them and all questions are thoroughly addressed.
Of the more than two dozen benchmarks every community is measured against, these are the ones boards ask about most:
Eclipse sends the written records request to the current manager and inventories banking, ledgers, receivables, payables, vendors, contracts, insurance, taxes, violations, architectural requests and legal matters. The board signs the agreement and the transition letter to the current manager.
Eclipse loads owners and balances, opens accounts in the association’s name, notifies the insurer, county auditor and vendors, and drafts the owner welcome letter and payment instructions. The board attends orientation and portal training.
Eclipse activates the portal and payment channels and begins inspections, owner service and financial management. The board introduces Eclipse to owners.
Baseline inspections, contract and insurance review, final accounting import and reconciliation, an asset inventory and maintenance calendar, and the first monthly financial package. The board reviews the first package and the baseline inspection report.
Most onboarding questionnaires run to a hundred questions or more. Ours asks about 35. The rule is simple: if the information exists anywhere else, we go get it and present it to you for review. We pull your recorded governing documents from the county recorder and the Ohio Secretary of State, your vendor list from your contracts, and your open items from the turnover package. What we ask you to provide is the local knowledge nobody else holds.
Throughout, your board can see which records the prior manager has delivered and which are still outstanding, so you know where everything stands.
