Dear Brookstone at Beavercreek Owners,
Ohio law and the Association’s governing documents require owners to provide and keep current certain contact and occupancy information. The Board is asking every owner to provide that information so the Association can maintain accurate records and communicate effectively with owners and residents.
Accurate records help the Association address several ongoing community needs:
- Communication: Current telephone numbers and mailing addresses allow management to contact owners and occupants promptly.
- Parking, Garages, and Vehicle: Current information about assigned parking spaces, separately owned garage units, and resident vehicles helps management contact the appropriate owner or resident before towing or taking other enforcement action when necessary.
- Pet & Insurance Concerns: Unidentified animals on the property have raised potential safety concerns that could increase the Association’s insurance costs. Current pet information helps management identify animals and address reported violations of the Association’s pet restrictions.
- Leasing Records: The Declaration requires every Unit lease to be in writing and requires a copy to be provided to the Association’s management immediately after execution. The Declaration also limits additional leasing when it would result in fewer than 50 percent of the 132 total residential Units being owner-occupied.
For Owners Currently Leasing Their Units: Please confirm the names and contact information of all occupants and provide management with a copy of the current written lease, if one is not already on file. Submission of the requested information does not itself, confirm leasing eligibility or alter any existing rights or obligations under the Association’s governing documents or applicable law. Management will review the Association’s records and contact the owner separately if additional information or corrective action is required.
Next Steps: The Board requests that all owners complete and submit the Annual Registration Form within 30 days from the date of this letter.
If an owner does not submit the form within the requested timeframe, the Association may issue a separate violation notice and may pursue enforcement in accordance with the governing documents and Ohio law. Before imposing an enforcement assessment, the Association will provide notice and opportunity for a hearing, as required by Declaration Article 13, Section 13.3, as amended.
Online: You can complete and submit this form online, either here or through the Eclipse owner portal under Annual Registration.
Paper Copy: To request a paper form, please contact Teresa Kissell at bstn@eclipsecommunities.com or (513) 494-4049 Ext. 325.
Thank you for your prompt cooperation in helping us keep our community records accurate and up to date.
